[A] Budget: Looking for Proposals
[B] Scope of Service:
(1) Vendor needs to provide open records management software.
- commercially-available vendor-hosted software service that can be used to create, assign, and manage requests for public records submitted by members of the public pursuant to the state open records act as well as support services for the maintenance and use of the software
• Ability to track information about public records requests, requestors, and associated tasks and activities
• Ability to configure designated fields as Required by staff
• Ability to track time, effort and cost per request
• Ability to track key dates fields
• Ability to provide a requestor’s request with up to 500 characters
• Ability to track the current status of a public records request
• Ability to automatically assign due dates based on configurable rules
• Ability to have a view a short description with each request
• Attach original requestor documentation
• Ability to track history of work done and by whom
• Categorization of Public records requests with configurable workflow to include notification, assignments, and reporting
• Automatic notifications that can be configured with business rules to notify public, internal users, and other users of specific events using configurable email templates
• Automatic response e-mails to requestors acknowledging receipt of request and providing them with an automatically generated unique tracking number for each request
• Configurable rule-based escalation
• Ability to easily configure and change notification email and letter templates
• Ability to configure user-defined fields.
(2) A pre-proposal meeting will be held on June 25, 2019.
(3) All questions must be submitted no later than July 1, 2019.

Onshore (USA Only)
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
